A top 20 multinational pharmaceutical company was looking for ways to reduce costs and increase communication effectiveness across active trial sites, from trail start to completion, in line with protocol requirements.
The international trial operations team knew they needed to identify a solution that would support training, share site best practices for high patient retention, and discuss study results using proven meeting formulas.
Solution
Leveraging ExtendMed’s Health Expert Connect platform, the company coordinated meeting invitations and RSVP, administered pre- and post-assessments, hosted virtual meetings for trail start, mid-study patient retention, and study results.
Furthermore, clinical operations was able to provide ongoing site resources through a single source. A dedicated ExtendMed project manager coordinated invitation and follow up reminders through the platform, assisted with content and video production management, and provided outcomes briefings to the project team.
Results
More than 80% of sites across Canada and the US participated in these virtual meetings.
The participant commitment was shrunk from multiple days for a face to face meeting to 60 minutes and the planning process from six months to only two.
Cost savings were reported at 66% versus a traditional face to face event. Internal staff reduced planning time by half, and evaluations remained as strong as in person events.
